Ask a Question,Get a Sourced Answer
Search across SharePoint, Google Drive, Confluence and your file server at once — with answers that cite the document and page they came from, and that never show anyone a file they could not already open.

CHALLENGE & APPROACH
The problem, and how we solve it
The answer exists. It is in a proposal from two years ago, or a spreadsheet on the shared drive, or an email attachment nobody filed. So the question gets asked in a group chat instead, someone senior answers it from memory, and the same question gets asked again next month. Meanwhile the documents that would have answered it sit across four systems with four different search boxes.
- Knowledge spread across SharePoint, Drive, Confluence and a NAS nobody has indexed
- Senior people interrupted for answers already written down somewhere
- Search that matches filenames but not what is inside a scanned PDF
- New joiners taking months to learn where things are kept
We connect to the systems where your documents already live, keep the index current with incremental sync, and parse what is actually inside them — including scans, spreadsheets and email attachments. Questions get answers with inline citations and page anchors, so every claim can be checked against the source. Retrieval is permission-aware: the index carries the source system's access controls, so a user only ever sees results from documents they can already open.
- Permission-aware retrieval — a user never sees what they could not already open
- Every answer carries citations, source links and page anchors
- Reads inside scans, spreadsheets, slides and email attachments, not just filenames
- Incremental sync keeps the index current without re-indexing everything
- Admin view of index health, coverage and the questions that return nothing
- Professional services firms with decades of precedent documents
- Engineering and construction teams searching drawings, specs and project files
- Teams whose knowledge is spread across several document systems
- Businesses onboarding new staff into a large document estate
- Anyone whose experts are interrupted daily for answers already written down
KEY FEATURES
What Internal Knowledge Search does
Six source connectors
- SharePoint and OneDrive, Google Drive, Dropbox
- Confluence, local NAS and file servers
- Email archives, including attachments
Seven file types parsed
- PDF, DOCX, XLSX, PPTX
- Scanned PDFs read with OCR
- CAD metadata, plus email and its attachments
Permission-aware retrieval
- Access controls inherited from the source system
- Results filtered per user at query time, not after
- ACL inheritance tested explicitly before go-live
Cited answers
- Inline citations with links to the source document
- Page anchors that land on the passage, not the front page
- Every claim traceable back to a document you can open
Incremental sync
- Change detection rather than full re-indexing
- New and edited documents picked up automatically
- Deletions and permission changes propagate to the index
Hybrid retrieval
- Keyword and semantic search combined, not one or the other
- Re-ranking to put the genuinely relevant passage first
- Conversational follow-up that keeps the earlier context
Search UI & filters
- Filter by document type, date, department or project
- Narrow to a matter, a client or a job when you already know where to look
- Feedback on every answer feeds retrieval tuning
Admin & coverage
- Index health and coverage across every connected source
- Top queries, and the queries returning nothing
- Zero-result reporting shows where knowledge is genuinely missing
- Slack and Microsoft Teams bot
- Structured sources — ERP tables and project databases
- Auto-generated summaries per project or matter
- Entity extraction into a knowledge graph across projects, clients and precedents
HOW IT WORKS
How it works
Connect the sources
SharePoint, Drive, Dropbox, Confluence, the NAS, the email archive — read-only, using the same access model they already enforce.
Parse & index
Documents are read for what is inside them — including OCR on scans — then chunked and indexed, carrying each document's source permissions with it.
Sync incrementally
Change detection keeps the index current as documents are added, edited, moved or deleted, and as permissions change. No nightly full re-index.
Retrieve, filtered by permission
A question runs keyword and semantic retrieval together, re-ranks the results, and filters them against what that specific user is allowed to see.
Answer with sources
The answer comes back with inline citations, links and page anchors — so anyone can check it against the document rather than trusting it.
INTEGRATIONS
Connects to what you already run
Document sources
- SharePoint
- OneDrive
- Google Drive
- Dropbox
- Confluence
- NAS / SMB
Practice management
- LEAP
- Actionstep
- Xero Practice Manager
Identity & access
- Microsoft Entra ID
- Google Workspace
- SSO / SAML
Access controls are inherited from these, not re-declared here.

TRUST & CONTROLS
Built for the audit, not just the demo
Permission leakage is the failure that matters
The index carries source ACLs and results are filtered per user at query time. We test inheritance explicitly before go-live, including what happens when someone's access is revoked — one leaked document ends the relationship.
Cited, or it does not answer
Answers are grounded in retrieved passages with citations and page anchors. Where there is no supporting document, it says so rather than composing something plausible.
A scope boundary per engagement
Document estates sprawl, and indexing everything costs more than it returns. We agree what is in scope up front rather than letting the index grow without limit.
Data residency
Malaysia, Australia or Singapore — set per tenant. No cross-region data movement, ever.
Audit log
Every read and write of your data is logged, exportable, and retained to your policy.
Human approval gate
Nothing writes to your system of record without someone approving it. That is a product rule, not a setting.
PII handling
No personal data in logs. Prompts are redacted before they are stored, and credentials are isolated per tenant.
WHERE IT FITS
Who runs this, and why
Legal & professional services
Precedents, advice and matter files searchable together — with retrieval that respects matter-level access rather than exposing everything to everyone.
HOW WE DELIVER
What happens after you get in touch
- 01
Discovery
A paid diagnostic that maps your systems, takes a real data sample, and captures the baseline metric. Without a baseline measured before go-live, no one can prove what changed afterwards.
- 02
Configure
Connectors, field mappings, validation rules and templates set up against your systems — configured for how you actually work, not rebuilt from scratch.
- 03
UAT & parallel run
The system runs alongside your existing process for two to four weeks. You see the delta on your own data before anything is switched over.
- 04
Handover
Training, a runbook and documentation — plus the admin UI, so your team can change mappings and rules without coming back to us.
We'll come back to you within 48 hours.
Start Your Project
